Job Description

Job Title: CUCST Administrator

Salary Grade: £12,000- £14,000

Department: Support Team

Responsible to: Support Team Manager

Job Purpose: To work as part of the administrative and reception team, providing support in the day-to-day running of the Shrub End Community and Sports Centre, including  the CUCST  ICT Administrative system.

Length of Contract: Permanent contract

Location: Shrub End Community and Sports Centre

Notice Period: One month

Probationary Period: Six months

 

Terms and Conditions

 

Hours of work: 37.5 Hours per week.  Some degree of evening work and weekend work maybe necessary.

The employee may not without the prior written consent of the Trustees, which will not be unreasonably withheld, engage, whether directly or indirectly, in any other business or employment.

 

Pension: There is no pension scheme applicable to the employment. There is no Contracting out Certificate in force relating to your employment by CUCST.

Cars: The Trust does not provide for the use of a company car.

Expenses: The Trust will reimburse for expenses incurred whilst performing the duties of the post. These include mileage allowance, hotel expenses and others, which are negotiable with the Chief Executive. The Trust must be provided with evidence of payment, (e.g. receipts), before reimbursement.

Essential Duties & Responsibilities:

  • To maintain the CUCST administrative systems, including the ICT administrative programme.
  • To  work with the administrative team ensuring that the reception area is staffed between the hours of 9.00am and 5.30 pm Monday – Friday
  • To perform reception duties, when necessary, including welcoming visitors and answering telephone calls.
  • To ensure the efficient  preparation of information, data and reports as required by Chief Executive or Chair of Trustees
  • To ensure the maintenance of up to date accurate records, utilising either manual or computerised systems as applicable
  • To work within a team to ensure an efficient and effective administrative service to customers, and CUCST staff, including appropriate information and advice
  • To manage relevant filing systems
  • To adhere to procedures regarding collection and receipting of monies, assisting in effective processing of bookings
  • To ensure and promote the  secure procedures in the general office regarding cash, personal data etc
  • To work within the administrative team to ensure the collection of all relevant documentary evidence required for audit purposes.
  • To provide clerical support to Trustees meetings: Including collating and distribution of Agendas; Minute taking: Distribution of papers and report
  • Any other duties compatible with the post held, which may be reasonably required from time to time by the Chief Executive and/or Chair of Trustees.

 

Person Specification

Education and Training:

  • Ability to demonstrate numeracy and literacy skills and educated to GCSE level or NVQ level 2 or above in a relevant area (essential)
  • Competent in a range of information technology applications, including word processing and spreadsheets (essential)
  • Customer Service qualification (desirable)

 

Knowledge and Experience:

  • Experience of administration and customer service within a similar environment
  • Experience of data reporting processes
  • Experience of managing a small team
  • Experience of basic office routines e.g. filing, record keeping, photocopying etc
